Every Child Inc. respects the privacy of all individuals who visit our website. This Privacy Policy applies to information collected by Every Child Inc., and only addresses activities from our servers. Other sites may have their own policies, which we do not control, and thus are not addressed or controlled by this policy.

Information We Collect

Every Child Inc. will only collect personal information which you knowingly and voluntarily provide by, for example, completing information request forms, sending emails, registering for events or other programs, or responding to surveys. As a visitor to our website, you agree, without limitation or qualification, to be bound by this Privacy Policy.

The personal information that you supply will allow us to appropriately respond to your requests and to provide a variety of services. Personal information may include name, mailing address, telephone number, email address, and other personal contact information. Personal information regarding your interests will allow us to provide materials to meet your specific needs. Every Child Inc. personnel may, for example, use the personal information to customize materials, target communications through mail and email, and to present you with retargeted information or advertising on third party websites and/or social media platforms.

Every Child Inc., or its designees, compiles statistics on visitors to our websites and/or works with others compiling statistics or performing other quantitative analysis. In these situations, the information that you provide may be used to aggregate statistical information to analyze visitor interest or other aspects of non-profit organization-related activities. The information aggregated will not include any personal information as it relates to a single visitor.

If you make a purchase on-site, over the phone, through the mail, or on-line from Every Child Inc., we will ask you to provide only the information necessary to process your order. For reasons of security, Every Child Inc. does not store credit card information permanently on any of its servers.

Every Child Inc. is the sole owner of information you voluntarily submit to us. If at any time it becomes reasonably necessary, Every Child will release the personal information that you have provided to comply with a court order, or protect the rights, property or safety of Every Child Inc., its personnel, the users of its sites, or others.

Information is Not Disclosed to Third Parties

Information is not provided to third parties for advertising or marketing purposes. We do not sell your e-mail address, your name, or personal demographic information to any mass marketers.

Opting Out

Under certain circumstances, we may share mailing information collected, i.e. during registration processes online, over the phone, or in person, with reputable organizations that are not related to Every Child Inc. If at any time you do not wish to allow us to share your mailing information with other organizations, you can call the Development Department at 412-665-0600 or email development@everychildinc.org. By choosing to “opt out”, the mailing information that you provide will not be shared or used outside of Every Child Inc.

Information Security

Online information provided to Every Child Inc. is transmitted using SSL (Secure Socket Layer) encryption. SSL is a proven coding system that lets your browser automatically encrypt, or scramble, data before you send it to us. We also protect account information by placing it on a secure portion of our site that is only accessible by certain qualified employees of Every Child Inc. Unfortunately, no data transmission over the Internet is 100% secure. While we strive to protect your information as much as possible, we cannot ensure or warrant the security of that information.

Personal information collected via the website, and information collected via mail and telephone, is stored in a secure database that is only accessible by certain qualified employees of Every Child Inc.

Information Collected Automatically

Every Child Inc. may automatically collect information relating to visitors when they access our website. This information may include information on how you use our website, what pages you have visited, or any errors that occurred while you were visiting our site. This information may be used by Every Child Inc. to help us in developing content and improving our site to create the best experience for our visitors. We may utilize cookies, i.e. small files sent to your browser by our website when you visit. Cookies can be used to track usage patterns, trends and visitor behavior, as well as to record other information regarding your visit. For example, when you register on our website, cookies allow us to save information so that you will not have to re-enter the same information the next time that you visit. In addition, these cookies allow us to share information with trusted advertising partners which enables us to present you with retargeted advertising on third party websites and/or social media platforms based on your previous interactions with our website. The cookies we may use will not contain any personal information. Most web browsers automatically accept cookies but you can change the preference on your browser to reject them. Doing so however, may affect your ability to use certain features of our website.

Information from Children

Every Child Inc. does not solicit personal information from children under the age of 18. We are concerned about protecting children’s privacy and safety and will never intentionally ask a child 18 years old or younger to provide us with any personal information. It is our intention to discourage children 18 years old or younger from providing any personal information. Parents and guardians are asked to instruct their children not to provide any personal information in any requests they send to Every Child Inc. In the event that such information is sent to Every Child Inc., we will merely respond to the request, and we will not attempt to create a profile or otherwise retain the child’s information.

Changes to Online Privacy Policy

This Privacy Policy may change from time to time. Every Child Inc. reserves the right to change it without notice. 

Notification of Changes

If we change our online privacy policy, we will post those changes on our website so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. We will use information in accordance with the online privacy policy under which the information was collected.

Policy on Donor Information and Confidentiality

Every Child Inc. is committed to respecting the privacy of donors and makes every effort to maintain the accuracy and confidentiality of all donor information. 

Donor information is stored in the Agency’s donor management database and in files accessible with a key. Access to that database is password-protected and is limited to essential fundraising and finance staff. File keys are kept with Every Child fundraising staff. Donor information is kept strictly confidential; Every Child does not disclose privileged or confidential information to unauthorized parties, or use said information for purposes outside of those aligned with the Agency mission. Every Child assures donors that their names and addresses and other information will not be shared with any third party unless permission has been granted.

Every Child uses donors’ information to understand their interest in our mission and update them on our plans and activities. In addition, Every Child maintains a record of each donor’s giving history. This information is kept for IRS purposes and is also use by the Development and Financial departments to project giving and financial patterns. The types of donor information that Every Child collects and maintains are as follows.
 

  • Contact information, including names, addresses, telephone numbers, email addresses, names and contact information of beneficiaries and family members

  • Giving information

  • Information on events attended, publications received and special requests for program information

  • Information provided by the donor in the form of comments and suggestions

Please note that credit card information is not maintained in the donor’s giving record.

Every Child honors all requests from donors who wish to remain anonymous and/or wish for the details of their gift to remain confidential. Donors have the right to request removal of their name and contact information from our Agency database.

Notice of Privacy Practices for Protected Health Information

This notice describes how medical information about you may be used and disclosed as well as how you can get access to this information. Please review it carefully. 

How Every Child, Inc. Uses and Discloses Your Health Information

Every Child, Inc. provides a broad range of prevention, mental health, placement and permanency services. If you receive services from Every Child, Inc., the Every Child staff assigned to you and/or your family may use your protected health information and disclose it to other agencies, medical professionals, and others involved with your family to:
 

  • Plan and provide your care and treatment

  • Communicate with health care professionals who care for you

  • Describe the care your receive

  • Obtain reimbursement from private insurers or other government programs

  • Verify services billed were actually provided

  • Educate health professionals

  • Inform public health officials charged with improving healthcare

  • Administer the County's programs that provide public benefits, and/or health or human services

  • Assess and improve the services provided and the outcomes achieved

  • Pay for services you receive

  • Inform you about other public programs and services

Every Child and its employees will not use or disclose your protected health information except as described in the notice, or otherwise authorized by law. 

Your Health Information Rights

You have the right to:
 

  • Request a restriction on certain uses and disclosures of your protected health information

  • Obtain a paper copy of this Notice of Information Practices upon request

  • Inspect and copy your protected health information

  • Request amendments to your protected health information

  • Obtain an accounting of disclosures of your protected health information

  • Request communications of your protected health information by alternative means or at an alternative address

  • Revoke your consent to use or disclose protected health information to the extent that it has not already been relied upon

  • File a complaint to Every Child, Inc. and/or the Secretary of the U.S. Department of Health and Human Services if you believe your privacy rights have been violated



Every Child Duties

Every Child, Inc.'s staff each has a duty to:
 

  • Maintain the privacy of your protected health information

  • Provide you with a notice as to our legal duties and privacy practices with respect to your private information

  • Abide by the terms of this notice

  • Notify you if we are unable to agree to a requested restriction

  • Accommodate reasonable requests you may have to communicate health information by alternative means or at an alternative address

  • Provide an accounting of disclosures of your protected health information

Every Child, Inc. may change its privacy practices and make the new privacy practices effective for all protected health information we maintain. Should our privacy practices change, we will mail a revised notice to the address you have supplied to us.

If you believe your privacy right shave been violated, you can file a complaint with Every Child Inc. or with the Secretary of the U.S. Department of Health and Human Services. there will be no retaliation for filing a complaint.

Examples of Disclosures for Treatment, Payment and Health Operations
 

  • We will use your health information for treatment

For Example: Information obtained by a nurse, physician, psychologist, psychiatrist, or other member of your healthcare team will be recorded in your record and used to determine the course of treatment, services and/or interventions that should work best for you and/or your family. 
 

  • We will use your health information for payment

For Example: A bill may be sent to you or any private or public source of health coverage you have identified. The information on or accompanying the bill may include information that identifies you, as well as your diagnosis, procedures and supplies used.
 

  • We will use your health information for regular health operations.

For Example: Members of a quality assurance team may use information in your health record to assess the care and outcomes in your case and others like it. This information will then be used in an effort to continually improve the quality and effectiveness of the healthcare services we provide.

Others Who May Receive Your Health Information

Business Associates:There are some services that are provided in our Agency through contracts with business associates. When these services are contracted, we may disclose your health information to our business associate so that they can perform the job we've asked them to do. However, we require the business associate to appropriately safeguard your information.

County Children & Youth Caseworkers, Court-Appointed Special Advocates (CASA), Officers of Juvenile Court: WE may disclose your health information to your County Children & youth Worker, your child's CASA worker, or other officers of the court, with your permission so that they can perform the job they're required to do. However, they are required to appropriately safeguard your information. 

Research: We may disclose information to researchers when the information is de-identified or when their research has been approved by an institutional review board that has reviewed the research proposal and established protocols to ensure the privacy of your health information.

Organ Procurement Organizations: Consistent with applicable law, we may disclose health information to organ procurement organizations or other entities engaged in the procurement, banking or transplantation of organs for the purpose of tissue donation and transplant. 

Funeral Directors: We may disclose health information to funeral directors to carry out their duties, as required by law. 

Public Health: We may disclose your health information to public or legal authorities charged with preventing or controlling disease, injury or disability.

Correctional Institutions: Should you be an inmate of a correctional institution, we may disclose to the institution, or agents thereof, any health information necessary for your health and the health and safety of other individuals, or for the administration of the institution.

Law Enforcement: We may disclose health information for law enforcement purposes.
